What you will be doing:

  • Manages the President's priorities in planning, communication and coordination of departmental activities and will be the gatekeeper of daily schedule, telephone and written correspondence, meeting requests, follow-up meetings
  • Sets up departmental meetings including agendas requiring knowledge of the purpose of the meetings, organizational priorities, and confidentiality.
  • Prepare, proofread and edit outgoing correspondence for the President’s signature. This includes correspondence for internal and external distribution with attention to style, grammar, and accuracy of the intended message.
  • Prepares presentations and reports both for the executive and others as well as for own activities. Frequently assigned projects requiring research, gathering data, and reporting on results.
  • Maintains records for budget and other activities such as accounts payable and purchase order requests, travel records, confidential reports. Prepares expense reports for travel and meetings.
  • Represents the President in managing both internal associates and external parties. Answers questions and troubleshoots problems independently and determines to whom to refer issues. Keeps the President appropriately informed of relevant issues by demonstrating the discretion to determine the importance and urgency or issues.
  • Prepare the President for all internal and external meetings including compiling all relevant information and insuring this is available prior to the meeting by working with all individuals involved in meeting preparation to gather all documentation necessary for a successful meeting
  • Manage sensitive and confidential correspondence appropriately
  • Ensures departmental Associates are aware of activities, meetings, policies and procedures.
  • Arrange travel for leadership team as needed.
  • May perform other functions to support the overall organization such as being responsible for policies and procedures, including writing, revising, communicating and maintaining records.
Who you are:
  • You have some post secondary education required - bachelor's degree preferred.
  • You have four or more years of previous experience supporting executive level management
  • You have excellent computer, Microsoft Office skills
  • You have excellent customer service, time management and organizational skills.
  • You have the flexibility to adapt schedule to support ever changing work demands
  • Above all, you have a high level of integrity and professionalism
