MacDonald Search Group is proud to partner with our Vancouver-based client in their search for an Executive Assistant to support one of the Vice Presidents located in the Vancouver office. What you’ll be doing:
  • Provide high level operational and administrative support to Vice President as needed.
  • Responsible for meticulous calendar management, including planning meeting coordinating recurring check-ins and communicating with multiple partners to schedule events.
  • Serve as liaison between President and key internal and external partners.
  • Manage internal communication and prioritization, including organizing, flagging and managing action items and tasks, and holding key players accountable to priorities.
  • Provide Vice President with appropriate preparation before meetings and check-ins, including creating agendas, providing reminders about content and action items, and tracking follow-up items.
  • Complete invoicing, expense reports, reimbursements and travel arrangements as needed.
  • Conduct research and draft memos for Vice President, planning events and meetings.
  • Manage bookings of meetings, location, resources and catering as needed.
  • From time to time, may record minutes during meetings.
Preferred Experience and Skills:
  • Certificate or Diploma in Business, Accounting, Business Administration, or another related field.
  • 3+ years' experience in a similar executive assistant role coordinating confidential information.
  • Experience working in a fast paced, professional office environment.
  • Demonstrated ability to communicate effectively within all organizational levels.
  • High attention to detail and ability to work within tight deadlines.
  • Must be self-motivated, fast paced, able to work independently and multi-task.
  • Intermediate to advanced MS Office, including Excel and PowerPoint.
  • Ability to promote and work seamlessly in a digitized office.
  • Ability to be self-directed and work independently, and participate effectively in a team environment.
  • Experience in manufacturing, construction materials environment or larger business entity is an asset.
  • Experience with JDE or SAP an asset.
