Our client is one of Canada’s fastest-growing QSR Concepts, they are currently seeking A Leasing Coordinator to support the growing franchise business. Performing a variety of leasing and other administrative responsibilities, this multifaceted role ensures that leasing documents are accurate and up to date, as well as keeps the office and the team organized on a day-to-day basis. This involves ensuring the efficient and accurate flow of leasing documents, reviewing and researching lease terms, and coordinating real estate transactions, paper flow, and inquiries. As well, administering payroll and other administrative support is required. Your actions and results contribute to a corporate environment that is helpful, responsive, and reflective of our client’s team, and culture of excellence.

The Leasing Coordinator provides support in the following key areas:

Day-to-day support for Leasing Administration (75% of the time)

To ensure legal requirements, and proper lead time is planned so all parties meet deadlines, the coordinator is responsible for:
  • Tracking and distributing real estate documents for signatures
  • Prepare conditions waivers, renewal documents, and estoppels
  • Inputting and updating lease, tenant, and other information into our online Franchisee management system
  • Logging, preparing, and tracking critical dates in leasing documents
  • Assisting in drafting and reviewing offers to lease (OTL) and leases
  • Updating and maintaining hard copy & electronic leasing files
  • Monitoring and administering upcoming lease renewals
Day-to-day support for Office & Franchise Administration (25% of the time)

To support the smooth operation of the head office, the Coordinator is responsible for:
  • Processing mail and incoming couriers
  • Depositing incoming cheques and filing deposits and statements
  • Managing administrative office files such as filing of bank statements/deposits and invoices
  • Ordering office supplies for head office team members, as requested
  • Assembling and couriering new Franchise restaurant opening kits and managing inventory
  • Scheduling and taking meeting minutes notes at monthly Franchisee meetings
  • Providing backup support on franchise legal document processing
  • Other administrative & coordinative duties as required

  • Advanced MS Office skills, including Excel
  • Experience with Google Docs, and Google Sheets is an asset, as is working knowledge of Google Drive tools
  • Experience with Zoho database and digital signing software are an asset
Experience & Education:
  • Post-secondary education in office administration or paralegal, university degree or college diploma in a related field, or equivalent
  • 2-5 years working for a national, multi-unit, retail company, landlord or brokerage
  • Experience and knowledge with lease terminology a requirement as well as preparation and administration of legal and leasing documents
  • Experience in the following areas is an asset: real estate sector, food industry, franchising, property management
Working Conditions:
  • This role requires the incumbent to work two days per week in our head office (downtown Toronto) and the remainder of the workweek is “work from home/remote
  • You are required to maintain a safe and technically secure remote working environment
  • Additionally, occasional travel to head office or other locations is required to attend team meetings
