MacDonald Search Group is pleased to partner with our Coquitlam-based client in their search for a Project Administrator/Order Processor. For over 45 years, our client has distributed heating and ventilation equipment to the construction industry in B.C. and the West Coast of the U.S. With a primary focus on bid/spec and design assist to mechanical and sheet metal contractors for the construction of schools, office buildings, high rise residential, retail, and restaurant projects, their business continues to grow and this is a great time to join their organization. What you will be doing:
  • Order Processing: Generating internal Sales Orders from documentation supplied by the sales team. Creating internal PO’s that reflect product and pricing from the external PO’s the sales team has created on our supplier’s ordering systems.
  • Product Shipment Logistics Support: Tracking and scheduling deliveries of product for projects. Ensuring the supplier will ship the correct product by matching Purchase Orders against the supplier ‘Order Acknowledgements’. Requires proactive communication with freight companies and suppliers as well as effective utilization of these companies’ web portals.
  • Customer Interaction:Confidently and competently fielding queries from customers as to when their product is expected to arrive.
  • Filing: Maintaining orderly filing for the numerous active projects at any given time.

Who you are:
  • Communication Skills: The right candidate will have excellent verbal and written communication skills as the role requires regular, proactive communication with both suppliers and customers.
  • Computer and Excel Proficiency: The individual will need computer proficiency and familiarity with working in excel. Experience creating new spreadsheets with basic formulas and basic excel formatting skills is an asset.
  • Numeracy Skills:The individual will excel at, and enjoy, working with numbers.
  • Project Management: Demonstrated understanding of project management concepts.
  • Logistics Experience:Experience expediting, processing and managing incoming and outgoing freight.
  • Attention to Detail: To be successful, the right individual will be organized and maintain a keen attention to detail.
  • Multitasking:Ability to prioritize and balance multiple activities.
  • Industry Experience:Experience in construction or HVAC industry is an asset.
