Job description
An experienced Electrical/Mechanical Project Coordinator will provide coordination and administrative support to the Projects Department.
Main Responsibilities:
- Entering Purchase Orders, Vendor Invoices and Billing Invoices.
- Reconciling and identify discrepancies to purchase orders.
- Prepare and issue invoices for customers both digitally and manually when requested.
- Ensure accuracy of time and material costs for customer invoices in accordance with internal policies and procedures.
- Ensure accuracy and data entry of vendor invoices.
- Maintain digital databases and records for project cost reporting.
- Provide reports to projects team for Progress and Time & Material billing creation.
- Ensure accuracy and maintenance of job specific files.
- Answer inquiries from internal and external clients.
Requirements:
- 3-5 years related coordinator and administration experience.
- Must be able to obtain security clearance.
- Proficient in Microsoft Office - Excel, Microsoft Word, and Outlook.
- Solid Communication skills with proficiency in speaking and writing in English.
- Self-motivated, able to multi-task, ability to meet deadlines & prioritize tasks.
- Excellent problem-solving skills, with strong attention to detail and thrives in a fast-paced environment.
- Experience in the billing process for government contracts would be considered an asset.
- Experience in both a service based and project-based billing industry.
- Comfortable with the construction industry setting and use of terminology. NBCC or NSCC Construction Diploma a huge asset
- Currently legally entitled to work in Canada
